This privacy notice explains when and why we collect personal information about people who are involved in our work, how we use it, the conditions under which we may disclose it to others and how we keep it secure. WHO WE ARE
Curious Motion CIC is a social enterprise that provides dance and arts based classes, workshops, and projects in communities, with a focus on mental health and overall wellbeing. We are a Community Interest Company, registered in England and Wales and our company number is 12356173. Our registered office address is Unit 29 The Town Hall, St George’s Stree, Hebden Bridge, West Yorkshire. HX7 7BY. Our projects take place in a variety of venues across Calderdale and online.
HOW WE COLLECT INFORMATION FROM YOU
We obtain information from you in the following instances:
  • When you register to join one of our classes or activities. When you first attend a class/ project we will ask you to complete a short registration form.
  • If you are joining us as a team member (staff or volunteers), we will obtain your personal information as part of our on-boarding process.
  • If you register to receive our newsletter, email updates, or send us your information via our social media pages.
We also sometimes receive information indirectly from a third party, such as a partner organisation. For example, when we run a class for a local community group, the community group may provide us with the names and contact information of their members who wish to attend, or a local befriending or social prescribing service may provide us with your information with your permission.
WHAT INFORMATION IS COLLECTED?
The personal information we collect may include your name, address, email address, date of birth, and telephone number (landline and/or mobile). If you are attending a class, workshop or project, we will also require general information on your health to ensure the suitability of our activities. If you pay with card for our services we do not obtain your card information, it is collected by our third party payment processors, who specialise in capturing data securely and processing credit/ debit card transactions safely.
WHY IS THIS INFORMATION NEEDED?
In order to ensure our services are suitable for you it is essential that we collect general personal information. This helps us to make sure our services are safe and appropriate for your specific circumstances in the context of how you are interacting with us. It also ensures that we can administer your account and send you relevant information about our work that you are directly involved in. We will not collect any personal information that we do not need in order to process and provide our services to you.
HOW IS THIS INFORMATION USED?
All of the personal data we process is collected by our team in the UK. For example, if you would like to register to join an activity you will receive communication from one of our team members to do this. For purposes of IT hosting and maintenance this information is located on third party servers. No third parties have access to your data unless the law allows them to do so. We use your information to ensure our services are suitable for you and to monitor and develop our work. We may use your information to:
  • assess your suitability for our classes/ projects.
  • communicate with you about the specific services you are using.
  • send you communications that you have requested, such as our newsletter.
  • process your payment for our services, such as taking a card payment.
  • ask for your feedback and comments on our services you have used.
  • notify you of changes to our services.
  • process a grant or job application.
  • as part of our on-boarding process for staff/ volunteers.
  • as ongoing management and communication for team members (staff/volunteers).
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
  • Your consent. You are able to remove your consent at any time. You can do this by contacting hello@curiousmotion.org.uk
  • We have a contractual obligation.
  • We have a legal obligation.
  • We have a vital interest.
  • We have a legitimate interest.
STORING YOUR INFORMATION SECURELY
When you supply us with your information we take steps to ensure it is treated securely and confidentially. We use digital online storage that is password protected and access is limited to specific team members. We also ensure any hard copies of information (e.g. registration forms or surveys) are scanned and uploaded to our online storage, and then appropriately destroyed (via shredding) and disposed of to avoid any further potential risks. In all cases, we ensure that we take all the steps possible to ensure it is stored securely and safely.
HOW LONG WE KEEP YOUR INFORMATION
It is necessary for us to keep your information throughout the time you use our services or are part of our team. If you decide to stop using our services or leave our team we will keep your information for seven years from that point, after which your information will be destroyed/ deleted. Information we use for marketing purposes (e.g. our mailing list) will be kept with us until you notify us that you no longer wish to receive this information. You may unsubscribe from our mailing list at any time. For photographs and videos, we obtain specific separate consent from you to keep these without a time limit, unless you retract your consent at any time at which point they would be destroyed/ deleted.
WHO CAN ACCESS YOUR INFORMATION?
We will not sell or rent your information to third parties. We will not share your information with third parties for marketing purposes. We may share your information with our artists, practitioners, board members, volunteers and any other team members within Curious Motion who are directly involved in the same activities as you. For example, if they are teaching a class you are attending, or are working alongside you to deliver one of our projects. Third party providers – we may pass some of your information to third party providers in order for us to administer your account, for example to take a card payment or process an online registration form. Our current booking system is with Bookwhen.com, who have stringent measures in place to protect your data. We only disclose necessary information if the third party requires us to in order to carry out its services and contracts are in place to ensure they do not share your information, unless you have given them permission or they are required to do so by law.
YOUR RIGHTS
You have a choice about whether you would like to supply the information we ask for and/ or receive information from us about our services. You also have the right to receive a copy of all of the information we hold about you. We will not contact you for marketing purposes unless you have given us specific permission to do so and we will only contact you via the methods you have given us permission to use. If at any time you would like to withdraw your consent please put this in writing by contacting us on hello@curiousmotion.org.uk.
REVIEW OF THIS NOTICE
We are committed to reviewing this policy annually. The last review was made in February 2023.
